Privacy notice

This notice explains what TheAiService LLC (“we”) collects through theaiservice.com and why.

What we collect

  • Contact form: the name, email, company, website and message you enter. We use it to reply to you.
  • Payments: handled by Stripe and PayPal. We receive your name, email, billing address and what you bought. We never see or store card numbers.
  • Server logs: our host, Cloudflare, records standard request data such as IP address and browser type for security and reliability.

AI agents

Much of this site is run day to day by AI software agents: the website chat, first replies to enquiries, proposal drafts, receipts and reminders, the client portal assistant, and the checks behind our status page. Each agent says it is an AI when it first talks to you, and you can ask for a person at any time; a person reviews anything that commits us or moves money. Your messages are used to answer you and to improve our own prompts and checks. We do not use them to train AI models; our provider, Anthropic, states in its API terms that it does not train on API data either, and we send them through Cloudflare's AI Gateway with logging switched off.

What we do not do

We do not sell personal data, run advertising trackers, or use your messages to train AI models.

Providers

Cloudflare (hosting, storage, email delivery, spam protection, AI Gateway), OpenAI (language models, through that gateway), Stripe and PayPal (payments), and Google Fonts (typefaces).

Retention

A scheduled job enforces these limits. Website chat transcripts: 90 days, after which only the fact that a conversation happened remains. Emails you send us: 180 days of content, then the message is reduced to a masked sender and a date. Free-assessment reports: 365 days, then the files are deleted. Portal sign-in links: 7 days. Enquiries that never became a client and have had no contact for 24 months are deleted. Client, engagement and payment records are kept as long as the relationship and tax law require. Technical error records keep no personal content after 30 days.

Your rights

You can ask for a copy, a correction or deletion of your data through the contact form; a person answers those requests.
